Job Summary:

The Office Administrator will provide support for multiple departments such as Accounting, Finance, Clinical Operations, Regulatory, CMC and Human Resources.  Duties will vary from accounting, procurement, and day to day office work.  The ideal candidate is detail-oriented with strong communication skills.  This is an individual contributor role reporting directly to the Associate Director, Human Resources.

Responsibilities

  • Ensure that vendor contracts are entered into the company contract system according to company policy.
  • Work with Legal and Finance departments to provide information needed to expedite the contract approval process.
  • Enter information into company system for Purchase Requests (goods and/or services.)
  • When appropriate, research costs from multiple vendors to ensure the company is maintaining fiscal responsibility.
  • Assist with the entering of vendor invoices into the company system for timely vendor payments.
  • Provide office support to the San Diego office, as needed.
  • Provide support to the HR Department and Finance Department, as needed.
  • Other duties and projects may be required

Education

High School Diploma or Equivalent

 

Qualifications And Requirements

  • 3+ years of experience, preferably in an administrative function, demonstrating an excellent knowledge of computer software programs including Microsoft Word, Excel, Outlook, and SharePoint
  • Demonstrates the ability to manage multiple issues and resolve matters in a timely manner.
  • Excellent communication skills, both written and oral.
  • Demonstrates strong attention to detail and produces high-quality work.
  • Demonstrates excellent collaborative and interpersonal skills.
  • Flexible and adaptable, able to take instruction from multiple avenues.
  • Ability to work in a fast-paced environment, prioritizing multiple tasks with competing priorities.
  • Strong professional presence
